The short answer
Start with a substitute-accountant test: can a colleague continue the client conversation and work without reconstructing the history? Compare the shortlisted tools against that requirement and the total cost of changing systems. This Claister-authored guide includes its pilot product and does not claim equivalent hands-on testing of every vendor.
Comparison basis and disclosure
Claister's team wrote this guide and includes its own product. We checked official pages and documentation on 6 October 2026; we have not performed equivalent hands-on testing of every option. Recommendations describe what to test. Confirm current plan, regional price, support and contractual terms directly.
Keep Karbon if email collaboration is working
Karbon's plan page lists email triage, workflows, client management and a client portal. If your firm already turns incoming mail into visible, owned work, that context has value. A replacement must preserve the useful handoff, not just recreate the number of tasks.
Before switching, sample ten recent client threads. Count how many have a clear owner, linked work and an understandable decision history. If the gaps come from team habits or inconsistent configuration, a simpler convention may solve the problem without a move.
Match alternatives to the missing capability
A small-firm shortlist
| Option | Evaluation focus | Pilot question |
|---|---|---|
| TaxDome | A broader client-service bundle | Can the portal-to-signature-to-payment journey fit your region? |
| Uku | Work, time and budget management | Can a manager identify an overrun before the cycle ends? |
| Financial Cents | Workflow and client-request handling | Can a partly returned request stay visible with an owner? |
| Claister | Period-linked work and approved AI assistance | Can the next accountant see the blocker and source record? |
Primary references: TaxDome plans, Uku plans and Financial Cents integration documentation. Evaluate those services against the same scope rather than scoring a list of unrelated features.
Calculate what a smaller team will actually pay
Request a quote for the people who need access, the billing commitment and the required functions. Add setup, data cleanup, training, connectors and the period during which two tools run together. Include the owner-review time needed to rebuild templates. A seat-price saving can disappear if the move creates a separate document, signature or billing tool.
For an illustrative comparison, a €30 monthly subscription saving is €360 over a year. If migration takes 12 hours valued internally at €40, its internal effort is €480 before any other costs. This does not prove the move is wrong; it shows that service improvements, later savings and risk must also justify it.
Test ownership when the first person is away
Use a fictional client email requesting a payroll change. Assign it, ask for clarification, attach the decision to the relevant work and then have another employee continue. Test access restrictions and the difference between an internal comment and an outgoing message. The firm needs a reliable handoff even when the original recipient is absent.
Repeat with a recurring monthly job that is waiting for documents. Can the manager see future demand and review needs? An empty task queue may mean that next month's jobs have not been created, not that the team has spare capacity.
Verify Claister's fit rather than assuming parity
Claister connects client records, recurring tasks, document requests, time and communication. The assistant prepares suggestions for a person's review. Its current product UI is English and Russian, and it remains a pilot. This comparison does not assert feature parity with Karbon's email triage or bundled billing; verify those needs explicitly.
Preserve context during a move
Before leaving the existing workspace
Before leaving the existing workspace
- Identify client threads and decisions that must remain accessible.
- Export and verify a sample of contacts, files and completed work.
- Rebuild recurring work with preparers, reviewers and exceptions.
- Assign ownership of every open conversation and task.
- Test client access and the agreed reply channels.
- Confirm retention, final exports and a rollback route.
Use the client handover record for ownership and the capacity planning guide for future work. Move in a controlled window, then review the first complete period before rolling out further clients.
Questions
Its official plan page lists one. Do not base a comparison on an old claim that a portal is absent; verify the current plan and actual client experience.
No. Compare the work the tool removes and the effort needed to maintain it. A small team can still need sophisticated handoffs and review controls.
